This Privacy Policy describes how Healthcare Professionals Institute (HPI) collects, uses, stores, and discloses information gathered through its website (ohiohpi.edu), its student application process, its enrollment systems, and its ongoing relationship with enrolled students. HPI is committed to protecting the personal information of all individuals it serves.
Information HPI Collects
Information You Provide Directly
HPI collects personal information that individuals voluntarily submit, including through the online application form, information request forms, email inquiries, financial aid applications, and enrollment agreements. This may include:
- Full name, address, phone number, and email address
- Date of birth and Social Security number (for financial aid processing)
- Educational history and prior healthcare experience
- Financial information necessary to process aid applications
- Health documentation required for program enrollment (maintained separately and securely)
- Background check results (processed by approved third-party vendors)
Information Collected Automatically
When you visit the HPI website, we may collect limited technical information including your IP address, browser type, pages visited, and referring website. This information is used in aggregate form to improve our website and does not personally identify visitors. HPI's website may use standard cookies for functionality purposes.
How HPI Uses Your Information
HPI uses collected information for the following purposes:
- Admissions processing — reviewing and acting on application submissions
- Financial aid administration — processing FAFSA, Pell Grant disbursements, and other aid programs
- Enrollment and student records management — maintaining academic records in Populi
- Clinical placement compliance — verifying health documentation and background clearances required by clinical partner facilities
- Student communications — sending enrollment confirmations, academic notifications, billing statements, and program updates
- Regulatory compliance — meeting federal, state, and accreditation reporting requirements
- Institutional research — analyzing enrollment, completion, and outcomes data in aggregate, non-identifiable form
Information HPI Does Not Do
Information Sharing
HPI shares personal information with third parties only in the following limited circumstances:
- Clinical partner facilities — Required background check results, health documentation, and enrollment verification shared only to the extent required for clinical placement compliance
- Populi (student information system) — HPI uses Populi as its cloud-based student information and learning management system; Populi's use of student data is governed by HPI's data processing agreement with Populi
- Financial aid processors — U.S. Department of Education, state agencies, and scholarship organizations as required by financial aid regulations
- Background check vendors — Limited personal information shared with approved vendors for required background screening
- Legal compliance — Information disclosed as required by valid legal process (subpoena, court order) or in good-faith response to a government request
- FERPA-permitted disclosures — As described in HPI's FERPA Annual Notice
Data Security
HPI implements reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, use, alteration, or disclosure. Student records are maintained in Populi's secure cloud environment. Physical records containing sensitive information are maintained in locked storage. Access to personal information is restricted to HPI staff with a legitimate need to know.
Despite these measures, no method of transmission over the internet or method of electronic storage is 100% secure. HPI cannot guarantee the absolute security of information transmitted to or from HPI. Students are encouraged to use strong, unique passwords for their Populi accounts and to report any suspected unauthorized access to Student Services immediately.

Retention of Records
HPI retains student education records in accordance with applicable federal and state law. Academic transcripts are maintained permanently. Other records are retained for periods ranging from 3 to 7 years following the student's last date of attendance, or longer if required by law. Financial aid records are retained for a minimum of 3 years following the award year to which they relate, as required by the U.S. Department of Education.
Changes to This Policy
HPI reserves the right to update this Privacy Policy at any time. Material changes will be communicated to enrolled students via Populi announcement and will be reflected in the updated effective date shown above. Continued enrollment or use of HPI's website following notification of material changes constitutes acceptance of the revised policy.
