Satisfactory Academic Progress (SAP) Policy

Federal regulations require institutions participating in Title IV federal financial aid programs to establish and apply standards of Satisfactory Academic Progress (SAP) to measure whether students are maintaining adequate academic performance to continue receiving federal financial aid. HPI's SAP policy applies to all students receiving Title IV federal financial aid, including the Federal Pell Grant. This policy also governs academic standing for all enrolled students regardless of aid status.

SAP Standards - Three Components

To maintain SAP, students must meet all three of the following standards simultaneously. Failure to meet any single standard results in a loss of SAP.

Component 1 — Qualitative Standard (GPA)

Students must maintain a minimum cumulative grade point average (GPA) of 2.0 on a 4.0 scale at all SAP evaluation points. A grade below 78% (C) in any nursing course requires the student to repeat the course. Repeated courses are included in GPA calculations.

Component 2 — Quantitative Standard (Completion Rate / Pace)

Students must successfully complete at least 67% of all clock hours attempted. This is calculated cumulatively across all payment periods. Attempted hours include all hours for which a student is registered at the end of the add/drop period, including withdrawn courses and repeated courses.

Completion Rate Formula: Cumulative Clock Hours Earned ÷ Cumulative Clock Hours Attempted × 100 = Completion Rate %

Component 3 — Maximum Timeframe

Students must complete their program within 150% of the published program length measured in clock hours. For the PN program (1,130 scheduled clock hours), the maximum timeframe is 1,695 attempted clock hours. Students who reach the maximum timeframe without completing the program are no longer eligible for Title IV aid.

SAP Evaluation Schedule

HPI evaluates SAP at the end of each payment period (semester). The evaluation covers all coursework attempted at HPI through the end of the payment period being evaluated. SAP determinations are made and communicated to students within 14 calendar days of the close of each semester.

SAP Statuses

HPI's instructional programs are offered in person at the Columbus campus. Programs currently available: Practical Nursing (PN) diploma — conditional on OBN approval; STNA/Nurse Aide certification — fully approved and enrolling; CPR/BLS certification — fully approved and enrolling. Facilities include a clinical simulation laboratory, didactic classrooms, a CPR/BLS training area, and student services and administrative offices. The campus is ADA-accessible and has free on-site parking.
✓ SAP — Meeting Standards
Student is meeting all three SAP components. No action required. Eligible for Title IV aid.
 
⚠ Academic Warning
Student failed to meet SAP standards at a single evaluation point. Student remains eligible for Title IV aid for one additional payment period while on warning. No appeal required. Student must meet SAP standards at the next evaluation to continue receiving aid.
 
✗ Financial Aid Suspension
Student failed to meet SAP standards for two consecutive evaluation periods, or failed to meet SAP after the academic warning period. Title IV aid is suspended. Student may continue enrollment at own expense. Student must file a SAP appeal to regain aid eligibility.
 
📋 Academic Plan / Probation
Student successfully appealed financial aid suspension and is on an approved academic plan. Student remains eligible for Title IV aid as long as they meet the terms of the academic plan at each evaluation point.

SAP Appeal Process

A student placed on Financial Aid Suspension may appeal if the failure to meet SAP standards was due to extenuating circumstances, including but not limited to: the death of a relative, injury or illness of the student, or other special circumstances beyond the student's control.

To file a SAP appeal, the student must submit:

  1. A written personal statement explaining why SAP standards were not met and what has changed that will allow the student to meet SAP by the next evaluation point
  2. Supporting documentation verifying the stated extenuating circumstances
  3. An academic plan developed in consultation with HPI's academic advisor, outlining the specific steps the student will take to return to good standing

SAP appeals must be submitted to the Director of Education within 10 business days of receiving the SAP suspension notification. HPI will review and respond to the appeal within 14 calendar days. Appeal decisions are final.

Directory Information

HPI designates the following as "directory information," which may be disclosed without prior written consent unless a student has filed a written restriction request: student name, enrollment status (full-time/part-time), program of study, and dates of attendance. To restrict disclosure of directory information, submit a written request to the Student Services office. Restrictions remain in effect until the student submits a written request to remove them.
